Rental Agreement Application

Facility Usage – When facilities are not in use for scheduled activities, and are available to the public, for rent, then use of the facility is on a first come, first served basis.

Club member fees: Rental $150.00 for a day and no security deposit.

Non-Club Members’ rental fee is $300.00 for 24 hours and will be paid once the rent is approved. A $150.00 security deposit will be made at this time once rental is established. If the rental is canceled the deposit will not be returned. The wedding and/or wedding reception fee for members or non-members is $600.00 per 24 hours with a $250.00 deposit. Security deposits are refundable to Lessee if the facility is left clean and without any damage to furnishings, building or grounds. If damage occurs that is above the security deposit, Lessee will be billed. The return of deposits rests solely with the Whigham Community Club. One adult chaperone must be present for every ten minors. If alcohol is being served, Lessee pays $600.00 deposit and follows the Liability Guidelines below.

Liability – The Renter agrees to conduct the event in accordance with all applicable laws, regulations, ordinances, and Whigham Community Club policies. Renter hereby agrees to hold harmless the Whigham Community Club, their agents, employees, officers, and trustees, and indemnify the Whigham Community Club against any claims, losses, damages, expenses (including court costs and attorney fees) in any way caused by, arising from, or connected with the event or use of the Whigham Community Club. When renting from the Whigham Community Club for a special event, the Renter, Renter’s caterer, the Renter’s vendors and contractors, and the Renter’s guests must agree to the conditions set forth in this contract. It is the responsibility of the Renter to communicate these conditions to the various service people working at the event and to the guests. The Renter will be held responsible for any violations of the Whigham Community Club’s established rules and regulations. Renter assumes the responsibility for any injury sustained by guests who might over-indulge in alcoholic beverages. Renter is also responsible for having TWO PAID UNIFORMED WHIGHAM POLICE DEPT. OFFICERS/GRADY COUNTY SHERIFF’S OFFICE DEPUTIES present if alcohol is served or present. Renter agrees to deny alcoholic beverages to any person who appears to be inebriated or underage. The Whigham Community Club assumes no responsibility or liability for the consequences of over-indulgence of alcoholic beverages. If a person consumes alcohol in excess and later is arrested for breaking a law, such as DUI, Renter is responsible, not the Whigham Community Club, because the Renter made available and served the alcohol.

Limited Seating – The Fire Marshall approves the seating of 133. The Whigham Community Club provides 15 Round 5-foot tables and cushioned chairs to seat 120, two 6 ft. rectangle tables.

Decorations – Nothing can be attached to inside or outside walls with nails, glue, tacks, staples, etc.

Smoking and Vaping Prohibited.

Surroundings – No Grilling on porches, no landscape damage, & no structural damage.

Supplies for you to Bring – Large 33 gal. and small trash bags, toilet tissue, ice, & paper towels

Kitchen – Refrigerator, stove, microwave, kitchen sink, large deep sinks, broom and mop for your use. Do Not leave food in the kitchen area, trash cans, or refrigerator.

Bathrooms – Two handicap accessible restrooms with sinks, toilets, and changing station

Wifi and Sound System may be requested for additional $25.00 each

Cleaning – The following items should be done to clean the building after your rental. 1.Floors clean/swept, and spills wiped up with water only. 2.Take out all trash – kitchen and bathroom. There is a large green receptacle outside between the Club and Boy Scout buildings. 3. Leave air conditioner on 78 degrees and heat on 68 degrees There are two thermostats – one in the hallway and another in the large room. 4. Turn off all lights inside and outside 5. All toilets flushed and cleaned 6. Tables and Chairs returned to original location 7. Doors locked and Key returned to the key box. (Linda Sodrel may be hired for cleaning IF renter is unable to complete the checklist after rental.) The Whigham Community Club is not responsible for personal articles.

Once your rental application is accepted you will receive an invoice via confirmation email. A link will be provided in the email for you to submit payment via credit or debit card. Rental deposit and rent payment will be made at this time. The key code will be sent to your email address. Upon completion of use of the Whigham Community Club, an inspection of the club building and grounds have been made and all satisfactory, then a refund for the $150.00 deposit will be made to your account.
I have read all the rental policy information and agreement provided to me and agree to comply with my signature below. I understand that my security deposit may be forfeited, or I may be billed for any additional expense should any of the policy requirements be ignored or abused, or if any damages are a result of the actions of my rental. No cancellation refunds will be made.
